JOB PURPOSE AND SCOPE: To provide administrative support to the existing Witness Care team. The team is the point of contact for victims and witnesses in the provision of enhanced levels of information and support by a needs assessment approach, and the liaison point for police officers and other criminal justice agencies during the court process. Working to support the team, the goal is to improve witness satisfaction and reduce the number of ineffective trials. Key Competencies: Dealing with Changing Circumstances, Supporting and Working with Others, Dealing with Complexity, Acting Professionally, Delivering Great Customer Service, Sharing and Co-Operating Administration To undertake general administrative duties which include:- Word processing Formatting documents Maintaining spreadsheets and record management systems To operate associated equipment which may include associated information systems and telephones, within the witness care unit and other units/departments To provide an effective and efficient service to both internal and external customers To accurately use rel evant computer systems, recording and updating information to ensure an effective service is provided. To deliver the requirements of the Witness Charter and the Minimum Requirements of No Witness No Justice in respect of pre charge cases. Support the Witness Care Offices to ensure that witnesses are warned for trial by consulting the List of Witnesses to Attend Court (LWAC). Assist the Witness Care Officers by carrying out administrative support duties. Maintain contact with victims and witnesses throughout the life of the case by preferred means of contact, including telephone, letter, email etc.Advice and Guidance Assess requirements of victims and witnesses and provide adequate support, advice and guidance Deal with straightforward and escalated queries and escalate more difficult or complicated queries Co-ordinate activity, interact with, and pro-actively supply information to external agencies and members of the publicCustomer Service and Representation Provide victims and witnesses with access to a range of support options such as support groups or transport using a standard Area Contact Directory. Obtain up to date Victim, Witnesses and Officers availability to attend Court. Respond to general victim and witness enquiries regarding the progress of a case To present a positive image and service to both internal and external customers Maintain confidentiality in relation to data protection issues and Management of Police Information (MOPI) standards Plan and organise own work and/or contribute to departmental projects Co-ordinate with other team members within the wider Witness Care UnitProcesses Follow processes for use by self and others related to area of work May check stock levels and request suppliesRecord Keeping Create, store, maintain, retrieve and update records/data both manual and computer on a local and national systems Use and understand common systems relevant to area of work to enable manipulation of information and initial investigation of customer queries/problemsResearch/Investigation To gather and process information, liaising and communicating within and outside the Department, with colleagues, operational officers and other Criminal Justice agencies to reduce the number of ineffective trials.PERSON SPECIFICATION Demonstrates knowledge of Police Computer Systems, procedures and working practices. Experience of data input and retrieval and experience of working within an administrative and computerised role. Communicates effectively and clearly both verbally and in writing avoiding jargon Uses listening and questioning techniques to elicit relevant information Demonstrates a methodical approach to work with the ability to plan, co-ordinate and prioritise Demonstrates the ability to develop strong working relationships with a range of stakeholders. Experience of working with victims and witnesses of crime Demonstrates the ability to check, collate and analyse information ensuring a high degree of accuracy Ability to work using initiative Demonstrates an ability to complete workloads within set timescales Knowledge of the Victim Code of Practice and the Witness Charter Demonstrates knowledge of Microsoft Office packages. Knowledge of Police procedures, working practices and basic law. Able to work using own initiative and work unsupervised.
