Temporary role for 3 months. Trust: Princess Alexandra Hospital NHS Trust Will have a typing test. Must have audio or at least a copy typist To handle incoming mail and telephone queries, taking messages and appropriate action. To type and process clinical documentation and ensure prompt dispatch. To provide support, including typing support, for other secretaries within the department during periods of annual leave, sickness and in times of additional activity. To ensure that confidentiality and data protection is adhered to at all times and ensure that patient data is recorded accurately. To handle incoming mail and telephone queries, taking messages and appropriate action. To type and process clinical documentation and ensure prompt dispatch. To provide support, including typing support, for other secretaries within the department during periods of annual leave, sickness and in times of additional activity. To ensure that confidentiality and data protection is adhered to at all times and ensure that patient data is recorded accurately. Typing of clinical documentation and reports, ensuring prompt dispatch within the Trust s agreed targets. Receiving all diagnostic results, ensuring that these are brought to the attention of the appropriate secretary and clinician, processing accordingly. Ensuring that the follow-though on all patients is complete e.g. further appointments and referrals, diagnostic reviews, ensuring that waiting list cards have been copied and distributed promptly and all patient enquiries have been followed up under the guidance of the secretary. Receiving patient queries by phone and resolving their concerns in a tactful and diplomatic manner, using own initiative and judgement and liaising with other secretaries where necessary. To ensure that the patient is fully updated and allay their fears and anxieties as far as possible. Opening and sorting consultant s internal and external mail, using initiative and action appropriately and passing to consultant for medical input where appropriate. Ensure action is taken and patient is updated. Responsible for the supervising and guidance of the clerk (if in post) in the absence of the secretary, highlighting any performance issues to the Clinical Admin Supervisors (in the first instance) and Line Manager. Request notes from medical records as and when required. Obtaining results and copy letters for clinic appointments when medical records are not available. Use of hospital systems- Cosmic/PATHWEB/RAD/Tracking (Case note Management). To provide support, including typing support, for other secretaries within the department during periods of annual leave, sickness and in times of additional activity. Set up and maintain appropriate filing and bring forward systems to ensure effective and efficient working practices are in place. Ensuring dictating machines are functioning and available for clinics as required. Provide BigHand support and training for consultants and teams highlighting any issues and concerns to admin supervisors. Guidance from medical secretaries if required.
